12 Questions to Ask When Choosing a Venue

Capacity, noise limits, a rain plan and parking: topics to settle before signing.

The venue is the decision that most affects a wedding's atmosphere and budget. A beautiful photo or a striking first impression is not enough; the questions below should be answered before signing.

Capacity and layout

  1. What is the real capacity for a seated dinner? (Standing cocktail capacity is higher.)
  2. How much space is allotted for the dance floor, stage and bar?
  3. Are there a bride's room, groom's room and preparation area?
  4. Are there ramps and lifts for disabled and elderly guests?

Rules and limits

  1. When must the music end? Is the noise limit given in decibels?
  2. Can we bring our own caterer or is the venue's caterer mandatory?
  3. Is there alcohol service and a corkage fee?
  4. Are outside décor and floral suppliers allowed?

Weather, transport and safety

  1. What is the rain plan for an open-air venue? Is the indoor capacity enough?
  2. How many vehicles does the car park take? Is there valet service?
  3. How is access by public transport and taxi?
  4. Are there a fire and emergency evacuation plan and the required permits?

The answers should be obtained in writing. At Hanımeli Organizasyon we keep this information in a standard form for each of the 38 venues we partner with; you can compare capacity and features on our venues page.

By booking a venue tour you can see three venues in one day and ask our team for on-site support.

What to check on a venue tour

If possible tour in the evening, because the venue's light, sound and surrounding noise are completely different at the hour of the wedding. See for yourself the corridor food service will pass through, the number of toilets and the size of the bride's room. Mobile signal and internet access matter too if you will livestream.

What the contract must state

  • Usage hours (including set-up and dismantling) and extension fee
  • Damage deposit and refund terms
  • Rain plan and force majeure clause
  • Insurance and distribution of liability

Budget and negotiation

Alongside the venue rent, side items such as service charge, extra hours, cleaning and security can add up to as much as the rent. When comparing quotes, put every item in one table. Room to negotiate rises noticeably in off-season dates, weekday evenings or when you hold several events (henna night plus wedding) at the same venue.

At the venues we partner with, pre-negotiated rent and deposit terms apply; this typically gives couples an advantage of 8–12%.

In summary

A venue should be chosen not on a beautiful photo but on written answers: do not make a final decision before capacity, noise limit, catering terms, rain plan and extra charges are in the contract. Seeing three venues on the same day makes comparison easier.
